Privacy Policy

This policy describes what Ovesyan Tech Inc. collects when you use LoadLedger, why we collect it, and the choices you have.

1. What we collect

• Account data — name, email address, and workspace membership, managed through our authentication provider (Clerk).
• Business documents — files you upload (freight exports, fuel and toll statements, receipts, supplier invoices, rate cards, driver wage matrices) and the structured data extracted from them, which may include driver names, truck identifiers, customer names, routes, and amounts.
• Usage and diagnostics — activity events inside your workspace (who uploaded, reviewed, or changed what — shown to your team in the product’s activity feed) and error/performance telemetry.

2. How we use it

Solely to operate and improve the Service: storing your documents, extracting fields from them, matching costs to loads, computing profitability, and showing your team an audit trail. We do not sell personal information and do not use your documents to train AI models.

3. Service providers (subprocessors)

• Clerk — authentication and team invitations.
• Neon (PostgreSQL) — primary database.
• S3-compatible object storage — encrypted storage of uploaded files.
• OpenAI and/or Google (Gemini) — document classification and field extraction. Document contents are sent to these providers under API terms that exclude training on your data.
• Vercel — application hosting.
• Sentry — error monitoring (when enabled).

4. Data isolation and access

Your data is scoped to your organization’s workspace; members of other organizations cannot access it. Within your workspace, access is role-based (Admin, Operator, Viewer) and controlled by your administrators.

5. Retention and deletion

We retain your data while your workspace is active. Records you void in the product are excluded from calculations but retained for your audit trail. On written request after termination we delete your organization’s data within 30 days, except where law requires retention.

6. Security

Data is encrypted in transit, file downloads use short-lived signed URLs, and access requires authentication. No system is perfectly secure; notify us immediately of any suspected compromise.

7. Your choices

You can export load and profitability data as CSV from the product, correct extracted data through the review workflow, and request account or workspace deletion through your account contact.

8. Changes and contact
